Russell Tobin's client, a technology company, is hiring an Events Administrator.

Job Title: Events Administrator – IC3

Location: SCV, Bay Area

Schedule: Hybrid (Onsite required Mondays; 3 days onsite, 2 days remote)

Duration: Ongoing

Hours: 40 hours/week | 8 hours/day | Monday–Friday

Pay Rate: $42 - 46/hr.

Overview:

We are seeking a detail-oriented and highly organized Events Administrator who is passionate about delivering exceptional onboarding experiences. This role plays a critical part in welcoming new hires and supporting training initiatives across a dynamic and fast-paced organization.

The ideal candidate will have experience planning and executing new hire orientation events, preferably within large enterprise environments such as tech, supply chain, manufacturing, or retail. The primary focus will be on the logistical and operational aspects of weekly onboarding events, with secondary responsibilities supporting internal training and quality assurance programs.

Key Responsibilities:

New Hire Orientation Events (Primary Focus):

  • Lead the execution of weekly in-person onboarding events at the SCV campus each Monday.
  • Manage volunteer greeters: assign stations, provide quick briefings, and ensure readiness.
  • Coordinate logistics: signage placement, catering setup and inspection, exception handling.
  • Organize and lead a weekly operational review call with key stakeholders.
  • Manage rescheduling requests and late additions to attendee lists.
  • Track, analyze, and share attendance data and survey feedback.
  • Recommend enhancements to the onboarding experience based on observations and feedback.

Training & Quality Assurance Support (Secondary Focus):

  • Assist in creating and updating training content and process documentation.
  • Coordinate and communicate internal training schedules.
  • Send welcome communications to training participants.
  • Run weekly quality assurance audit reports and summarize findings in scorecards.

Required Skills & Qualifications:

  • Proven experience delivering large-scale onboarding or training events in a corporate environment.
  • Excellent interpersonal and communication skills.
  • Exceptional time management and organizational abilities.
  • Strong attention to detail and ability to multitask effectively.
  • Proficiency with productivity tools such as virtual meeting platforms, Keynote, Pages, Numbers, and iCal.
  • A track record of continuous improvement and outstanding customer service.

Preferred Background:

Candidates with experience at large-scale enterprise companies—particularly in tech, supply chain, retail, or manufacturing—will be prioritized. We are not seeking candidates from healthcare, education, or government sectors for this role.
