Job Summary:

We are seeking a detail-oriented and organized Bookkeeper/Payroll Assistant to join our team. This role is responsible for maintaining accurate financial records, processing payroll, and assisting in various accounting and administrative tasks. The ideal candidate will have a strong understanding of accounting principles, excellent attention to detail, and the ability to manage confidential information with discretion.

This position is preferably full-time but will consider part-time for the right candidate.

Key Responsibilities:

Bookkeeping:

  • Must have experience using QuickBooks and be able to download and import transactions from the bank account to QuickBooks
  • Reconcile bank and credit card statements
  • Record necessary journal entries.
  • Generate financial reports as needed

Payroll:

  • Process employee timesheets and ensure timely and accurate payroll submission
  • Maintain payroll records and employee data (e.g., wages, benefits, tax withholdings)
  • Coordinate with HR for new hires, terminations, and changes in payroll status
  • Ensure compliance with federal, state, and local payroll laws
  • Prepare and submit monthly, quarterly and year-end payroll reporting, including W-2s and 1099s

Administrative Support:

  • Assist with audits and respond to inquiries from management or external agencies
  • File and organize financial documents
  • Perform other clerical tasks as needed

Qualifications:

  • 3–5 years of experience in bookkeeping and/or payroll processing
  • Proficient in QuickBooks
  • Knowledge of payroll systems (e.g., ADP, Paychex, Gusto) is a plus
  • Strong organizational and time management skills
  • High level of accuracy and attention to detail
  • Ability to maintain confidentiality and handle sensitive information
