Position Summary:
The Administrative and Accounting Assistant will be responsible for providing comprehensive support in accounting, bookkeeping, administrative tasks, and document management. This role is essential for ensuring the accuracy and efficiency of our financial and administrative processes while contributing to the overall success of our projects.

Key Responsibilities:

Perform daily accounting tasks, including:

  • Accounts receivable and accounts payable entries and reconciliations
  • Preparing and maintaining credit card expense reports
  • Reconciling vendor statements and accounts
  • Maintain and update supplier and customer files in our systems
  • Review supplier invoices and analyze them against contractual terms, identifying discrepancies or overbilling
  • Assist in month-end closings and financial reporting as required
  • Scan, file, and organize various documents (digital and paper)
  • Answer phone calls and respond to emails in a professional and timely manner
  • Provide administrative support including scheduling, document preparation, and miscellaneous office tasks
  • Collaborate closely with project managers and the finance team to ensure accurate and timely financial information

Qualifications and Requirements:

  • Diploma or degree in accounting, administration, or a related field
  • Minimum of 3 years of relevant experience in administration and accounting, preferably in the construction industry or a fast paced environment
  • Strong understanding of bookkeeping principles and experience with accounting software (e.g., QuickBooks Desktop & online, Sage, or similar)
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines in a dynamic environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Adobe
  • Strong communication skills and ability to work both independently and as part of a team

L’adjoint(e) administratif(ve) et comptable sera responsable de fournir un soutien complet en comptabilité, tenue de livres, tâches administratives et gestion documentaire. Ce poste est essentiel pour assurer l’exactitude et l’efficacité de nos processus financiers et administratifs, tout en contribuant au succès global de nos projets.

Responsabilités principales :

  • Effectuer les tâches comptables quotidiennes, notamment :
  • Saisie et rapprochement des comptes clients et fournisseurs
  • Préparation et mise à jour des rapports de dépenses par carte de crédit
  • Rapprochement des relevés et comptes des fournisseurs
  • Tenir à jour et actualiser les fichiers des fournisseurs et des clients dans nos systèmes
  • Vérifier les factures des fournisseurs et les analyser par rapport aux termes contractuels afin d’identifier les écarts ou les surfacturations
  • Assister aux tâches de clôture de fin de mois et aux rapports financiers selon les besoins
  • Numériser, classer et organiser divers documents (numériques et papier)
  • Répondre aux appels téléphoniques et aux courriels de manière professionnelle et efficace
  • Fournir un soutien administratif, y compris la planification, la préparation de documents et diverses tâches administratives
  • Collaborer étroitement avec les chargés de projet et l’équipe financière pour assurer la précision et la ponctualité des informations financières

Qualifications et exigences :

  • Diplôme ou formation pertinente en comptabilité, administration ou dans un domaine connexe
  • Minimum de 3 ans d’expérience pertinente en administration et comptabilité, idéalement dans l’industrie de la construction ou dans un environnement dynamique
  • Solide compréhension des principes de tenue de livres et expérience avec un logiciel comptable (p. ex. : QuickBooks Desktop & online, Sage ou équivalent)
  • Excellentes compétences organisationnelles et souci du détail
  • Capacité à gérer plusieurs tâches et à respecter des délais serrés dans un environnement en constante évolution
  • Maîtrise de la suite Microsoft Office (Word, Excel, Outlook) Adobe
  • Excellentes compétences en communication et capacité à travailler de manière autonome ou en équipe

Maîtrise du français et de l’anglais, à l’oral et à l’écrit
